Description

The Administrative Assistant – 6th Floor Message Center is responsible for a broad range of activities including Board Meeting preparation. This role must maintain a confidential, close and highly responsive relationship in a fast-paced environment.

Responsibilities

  • Update and email status sheets each morning (Executive and Admin Assistant schedules)
  • Answer roll over calls from 6th floor Executives and their Admins, email messages and keep a daily and weekly call log
  • Reserve 6th floor conference rooms, including entering into Outlook, sending a report daily and back up support for all other conference rooms in Corporate AA
  • Board Meeting preparation: Loading Board binders with materials, utilizing Boardvantage (Meeting and Collaboration software) for meeting preparations; ordering catering for all meetings, ordering flowers, preparing documentation for meetings and dinner, preparing vouchers for each paid meeting, set up day of Board meeting and provide additional support as needed
  • Proofreading Director travel itineraries, copying and distributing final itineraries to Security
  • Director payments: create vouchers and send payments, log all payments for CY and FY and reimbursement of travel for Directors
  • Director Information Guide: update and distribute guide pages with current information
  • Prepare and distribute materials for two mailings to Directors per month (vouchers, memos & letters)
  • Update and distribute 6th floor diagram and phone lists as needed
  • Assist in preparation and distribution of event tickets and miscellaneous assistance with event ticket administration as needed

Additional Information

  • Ability to professionally interface with all levels of Management and their support teams in a highly confidential manner
  • Self-motivation and organization skills required along with strong interpersonal skills and attention to detail
  • Excellent interpersonal, communication, grammar, and telephone skills
  • Ability to handle numerous tasks simultaneously
  • Must be familiar with accounts payable, receivable, and budgeting
  • Strong computer skills: knowledge of Microsoft Office (including PowerPoint, Access and Excel) required, Boardvantage and SharePoint Administration preferred

Requirements

  • High school diploma required. College courses in Business preferred
  • Five or more years of administrative assistant experience in an executive office environment required
